Build a comparable total cost
Period cost = quoted setup + licence for the period + hardware and operations + third-party tools and optional external computing + internal time.
Separate scope limits, support, updates and exit costs in the quotation. State hardware life and concurrent users. Time saved is not automatically cash saved: measure the tasks actually avoided and how often they occur.
Your quotation specifies the licence, setup, agreed connections and support. Hardware, third-party subscriptions, optional external computing and work outside the agreed scope are listed separately.
How could the reported benefit be confirmed?
The report remains a statement from management, without an independent audit or signed quotation. The following is a proposed future measurement protocol, not a completed study.
- Define the task and its start and end; distinguish search, preparation, review and approval.
- Compare similar tasks before and after, recording period, sample size, complexity, configuration and errors.
- Report the median and spread, including correction time, and obtain customer validation. Publish a name or quotation only with written consent.
